A sending profile controls how you appear to recipients: its display name becomes the From name, and its signature is added to messages sent with the profile. The delivery account supplies the sending address and provider connection. Open Sender, then the Name and signature section.

Create a profile

  1. Choose Set up name and signature for your first profile, or New profile.
  2. Enter the display name recipients should see.
  3. Add a signature. You can paste formatted content or use the signature editor’s HTML mode.
  4. Review the signature preview.
  5. Check Delivery accounts using this profile carefully.
  6. Choose Create sending profile.
A new profile initially selects delivery accounts that have no profile. Accounts already assigned elsewhere are identified in the list. Assigning one here moves it to this profile.
A profile with no delivery accounts cannot send. A delivery account can use one profile at a time; creating another profile does not create another mailbox.

Footer configuration is not a substitute for reviewing your outreach obligations and recipient preferences.

Edit or reassign

Open Edit on the profile, make changes, and choose Save changes. Review account assignments as well as the visible signature. If an account is unassigned, it falls back to its plain From name rather than acquiring another profile automatically. The Sender view warns about accounts without profiles and profiles without signatures or delivery accounts. For a signature that looks wrong, compare both HTML and plain-text versions, then preview an actual reply. Avoid adding the same signature manually to a message body when the profile will add it.

Tell the agent which identity to use

Review the delivery account as well: the correct display name does not by itself prove the correct sending address or reply destination.
